Launch the Core WECommunity Experience on a Connected HubSpot Foundation
SmartBug's recommended initial release focuses on the four capabilities identified as the most important starting point: a secure member portal, a fast mobile-first application experience, AI-assisted document review, and a searchable directory of approximately 23,000 suppliers. The approach establishes a scalable foundation for certification, corporate-member discovery, data, and future global expansion.
Four outcomes that stand up the core WECommunity experience

- Customer Agent as the embedded HubSpot AI foundation
- Supplemental document-intelligence / OCR service for advanced extraction and risk flags
- Human review, workflow orchestration, and audit logging in HubSpot
- SAP Ariba data migration
- Data Hub / Operations Hub for sync and programmable automation

Recommended Phase 1 Planning Range
A planning-level services investment range for the twelve Phase 1 workstreams — sized to focus on the highest-value initial release.
Platform fees separate
HubSpot platform and licensing costs are not included in the Phase 1 services investment and will be provided separately by HubSpot.
For discussion, not a fixed quote
Hours and pricing are presented as planning-level ranges. Final scope, deliverables, timeline, and investment will be documented in the formal Statement of Work following discovery.
Phase 1 only
Future phases (Growth Roadmap and Future Innovation) are shown as roadmap items and will be scoped and priced separately.
Investment, Migration & Ongoing Support
What is included in Phase 1, what is included at a planning level, what requires technical validation, and what is optional after launch.
Planning-level estimate for the 12 Phase 1 workstreams, including discovery and architecture, HubSpot configuration, secure portal and application experiences, AI-assisted document review, supplier directory, testing, training, and project management.
SAP Ariba → HubSpot Data Migration
Covers migration of approximately 23,000 structured supplier records from SAP Ariba into the new HubSpot data model, assuming an accessible export and manageable data quality.
Historical applications, certification records, documents, approval notes, audit history, multiple rehearsals, delta migration, and large-scale file transfers are subject to discovery and may expand the scope. A broader historical migration may require 200–400+ hours / approximately $39,000–$78,000+.
Custom Integrations
- Standard connector setup$3,000–$6,000
- Connector with mapping / workflows / testing$6,000–$12,000
- Moderate custom API integration$12,000–$24,000
- Complex bidirectional integration$24,000–$50,000+
Stripe: typically $4,000–$8,000 for straightforward payment collection; approximately $12,000–$24,000 for a custom payment experience.
QuickBooks: typically $5,000–$10,000 for basic synchronization; approximately $12,000–$24,000 for customized or bidirectional automation.
The architecture can support Stripe, QuickBooks, and other external systems, but these integrations are not automatically included unless expressly confirmed in the Phase 1 scope. Integrations already expressly described in Phase 1 remain included at a planning level; additional systems require technical validation and scope confirmation.
Ongoing Maintenance & Enhancements
Ongoing maintenance and enhancements are not included in the implementation estimate beyond initial launch support. Retainers can cover HubSpot administration, portal refinements, workflow and reporting enhancements, data-quality support, minor development, integration monitoring, troubleshooting, and release planning.
All figures are planning-level estimates based on currently understood requirements and will be refined through discovery, data/export review, and technical validation.
